Prepare, review, and issue all export shipping documents, including:
Commercial Invoices
Packing Lists
Certificates of Origin
Bills of Lading
Phytosanitary Certificates
Health Certificates
Inspection Certificates
EUR.1 and other preferential trade documents when required
Coordinate with shipping lines, freight forwarders, customs brokers, and customers regarding documentation requirements and deadlines.
Ensure all export documents comply with destination country regulations and customer-specific requirements.
Coordinate with Quality and Packing House teams to obtain accurate shipment information, including product specifications, quantities, and packaging details.
Submit documentation requests to relevant authorities and follow up on approvals and certificate issuance.
Review draft Bills of Lading and other transport documents to ensure accuracy before final issuance.
Maintain shipment records and ensure all documentation is archived and readily available for audits or customer inquiries.
Support customs clearance processes by providing complete and accurate documentation to brokers and customers.
Monitor shipment schedules and ensure documentation is completed and dispatched within required timelines to avoid delays, demurrage, or clearance issues.
Communicate shipment documentation status and updates to internal stakeholders and customers.
Identify and resolve documentation discrepancies and coordinate corrective actions when required.
Ensure compliance with company procedures, export regulations, and food safety requirements.
